Frequently Asked Questions
Our policy states that all teams outside of 75 miles are required to stay with our partnering hotels. This list can be found on the Baseball World Series website under the hotels tab in the top right corner. As a Stay-To-Play event provider all teams AND individuals will complete the hotel lodging process through the event website, not directly with the hotel.
This policy requires teams to have at least 26 room nights through our hotels, if this cannot be met, then an alternate lodging fee will be added to the registration. Alternative lodging fees range from $900-$1300 depending on location and allows teams to stay wherever they want if paid.
The official tournament schedule will be sent out, and put on our website 1 week before the tournament.- An idea of what to expect is:
Day 1: Pool Play games will start at 10am and those with the early games will have a coaches meeting at 8:30am. Pool play games will go on for the remainder of the day.
Day 2: Pool play games will continue until completed. We could have our skills competitions on this day as well depending on field availability.
Day 3: Bracket play will start at the directed time. If skills competitions are not completed on day 2 then they will take place on Day 3.
Day 4: Bracket play will end on day 4.
Day 5: (if scheduled): This is a rain day. Not all locations have this day built in so check your dates, but if weather causes us to push games back, instead of playing all night we will push games back to this day to allow for more games to be played during the week.
If we have a rain or lightning delay you will be notified as soon as we have an answer from the park and the new schedule in place so please be patient. If we see that it’s possible to continue to play that day we will be prepared to play on that 5th day.
Every team can include up to 2 players who meet the grade eligibility criteria on their roster. If a team exceeds this limit, they must participate in the age group above their current one. Failure to comply with this rule, resulting in more than 2 players above the specified requirements, will lead to immediate disqualification from the tournament.
Our rules state that one player must be born after January 1st of the calendar year of the event they participate in, and another player must be born within 30 days of the age cutoff.
If for some reason you have to cancel your registration with us, the following things need to take place:
- Tyler Fitch (tfitch@athletx.com) needs to be notified immediately.
- If you have booked hotels, please go to the online portal and follow necessary steps. If you don’t know steps please email jsiegel@athletx.com
Per or terms of service at any point if you cancel your registration, Athletx sports group will issue you a credit that is good until the end of the 2025 season. It can be used on any tournament that we host and those can be found here:

The event insurance is different from your team’s limited liability policy required to play in the tournament.

The event insurance offered during registration can be used should Athletx Sports Group or the Baseball World Series have to cancel your age group or the tournament for covered reasons. If this is the case, then if event insurance is purchased, you will receive a refund instead of a future credit.
If the event insurance is not purchased then teams will receive a credit to future Athletx that is good for 24 months.
New this year to the Baseball World Series is optional pin trading!
Teams are more than welcome to bring pins, but we will not have time set aside to allow for pin trading. Our recommendation is during your skills competitions ask teams if they would like to trade.
Every event has a gate fee. The standard gate fee for our events is $15 a day or $40 for a full event pass per person. Full event passes may optionally be pre-purchased before the event at a discounted $35 each. Kids under the age of 12 are admitted free to the event.
The team registration fee allows admittance for all players and 3 coaches.
You will receive a wristband or stamp at the point of entry to the event.
Yes, tournament shirts will be available for preorder and you will receive text messages and emails about this process starting in the Spring. We always sell out on-site, so please Pre-order to ensure we can meet your needs. Pre-order – $30, On-site – $35
The email and phone number that we have on file is who registered the team. It is their responsibility to get the information out to the parents of the players.

Once a registration fee is paid for an event (applies to team and/or individual player events), no cash, check or credit card refunds will be issued for any reason, unless the Baseball World Series cancels the event in advance due to insufficient participation. If a team registers and subsequently is unable to participate, provided reasonable notification in writing prior to the release of schedules:
Team can be transferred to another Athletx Sports Group Tournament, subject to availability.
- Drop 60+ days prior to your event, 80% credit for the following year.
- Drop 30-59 days prior to your event, 60% credit for the following year.
- Drop 15-30 days prior to your event, 50% credit for the following year.
- Drop less than 14 days prior to your event, no refund for the following year.
